Welcome to FileConvurt ("we," "our," or "us"). We operate the website fileconvurt.com, an online file conversion platform that allows users to convert documents, images, audio, video, and other file formats instantly via a web browser.

This Privacy Policy explains what information we collect, how and why we use it, when we disclose it, how long we retain it, how we protect it, and the privacy rights available to you.

FileConvurt LLC is generally the business or data controller responsible for the personal information described in this Privacy Policy. If FileConvurt later offers a Business service that processes files solely on behalf of an organisation, the organisation may act as controller and FileConvurt may act as processor or service provider under separate terms.

This Privacy Policy does not constitute consent where consent is legally required. Consent choices are obtained separately through account, marketing, and cookie-preference controls.

1. Information We Collect

1.1 Information You Provide

We collect information you provide directly to us:

Email address — when you create an account or opt in to receive notifications about new formats
Payment information — when you purchase a paid subscription, Stripe collects and processes your payment-card information. FileConvurt may receive your name, billing address, transaction status, payment method type, subscription information, and limited payment details, but does not directly store complete payment-card numbers.
Business information — if a future Business service requests company or tax details for invoicing

1.2 Files You Upload

When you request a file conversion, the original file is temporarily uploaded to FileConvurt's systems or those of its hosting and processing providers.

Uploaded files may contain personal, confidential, or other information selected by the user. FileConvurt does not control the contents of files uploaded by users.

We process uploaded files only as reasonably necessary to:

perform the conversion requested by the user;
make the converted file available for download;
conduct automated malware, security, integrity, and abuse screening;
investigate technical problems when requested or authorised by the user;
prevent unlawful or prohibited use of the Service; and
comply with valid legal obligations.

Uploaded file contents are not sold, used for personalised advertising, or used to train general-purpose artificial-intelligence models. Human access to uploaded files is restricted and may occur only where reasonably necessary for authorised technical support, security investigations, abuse prevention, legal compliance, or another purpose authorised by the user.

Unless earlier deletion is required, uploaded and converted files are currently scheduled for deletion within 1 hour. Limited files or records may be preserved where required by law or reasonably necessary to investigate fraud, abuse, security incidents, or legal claims.

1.3 Information Collected Automatically

When you visit or use FileConvurt, we and our service providers may automatically collect:

IP address and approximate geographic location;
browser type and version;
device type, operating system, and device identifiers;
account, login, and session information;
pages visited, links selected, and time spent using the Service;
referring website or source;
funnel events such as converter opened, upload started or completed, conversion started, completed, or failed, download selected, upgrade selected, checkout started, subscription purchase completed, and optional structured post-download feedback;
requested input and output file formats;
conversion dates, status, duration, and technical errors;
subscription and account activity;
cookie identifiers, advertising identifiers, and consent preferences; and
interactions with advertisements, where advertising is enabled.

Optional analytics events may include the plan category, supported input and output formats, broad device information, referring source, campaign source/medium/name, a general error category, and structured answers indicating whether a downloaded result worked and its broad use case. The feedback prompt does not request free-form text. We do not intentionally send uploaded file contents, file names, account passwords, email addresses, or complete payment-card information to analytics providers.

1.4 Information Received from Third Parties

We may receive information from:

Stripe and other payment, tax, or fraud-prevention providers;
cloud-hosting and security providers;
analytics and advertising providers;
third-party storage integrations selected by the user; and
government authorities or publicly available sources where permitted by law.

2. How We Use Your Information

We use personal information for the following purposes:

to create, administer, and secure user accounts;
to receive, process, convert, and deliver uploaded files;
to process payments, subscriptions, renewals, cancellations, refunds, and taxes;
to provide customer support and respond to inquiries;
to send transactional messages, including receipts, security alerts, subscription notices, and file-ready notifications;
to detect and prevent fraud, malware, abuse, prohibited activity, and security incidents;
to troubleshoot errors and maintain, analyse, and improve the Service;
to understand where visitors complete or leave the conversion and subscription journeys and to evaluate the effectiveness of our pages and campaigns;
to enforce our Terms of Service and establish, exercise, or defend legal claims;
to comply with legal, tax, accounting, and regulatory obligations;
to send marketing communications where you have consented or where otherwise permitted by law; and
to operate analytics and advertising technologies subject to required consent and opt-out choices.

Where the EU GDPR or UK GDPR applies, we rely on the following legal bases: performance of a contract (to create and administer accounts, process files, provide subscriptions, process payments, and deliver the Service); legitimate interests (to secure and improve the Service, prevent fraud and abuse, troubleshoot problems, maintain business records, and protect legal rights, where those interests are not overridden by your rights); consent (for optional marketing and non-essential analytics or advertising technologies where consent is required); and legal obligations (for tax, accounting, regulatory, law-enforcement, and compliance requirements). You may withdraw consent at any time where processing is based on consent. Withdrawal does not affect processing that occurred lawfully before consent was withdrawn.

FileConvurt does not ordinarily use solely automated decision-making that produces legal or similarly significant effects. Automated systems may identify malware, fraud, security threats, or suspected violations for restriction or human review.

3. How We Share Your Information

We share your information only in the following limited circumstances:

3.1 Service Providers

We work with trusted third-party service providers who help us operate FileConvurt. These providers access your information only as necessary to perform their services and are contractually bound to protect it:

Stripe, Inc. — payment processing, subscription management, and VAT/tax calculation
Amazon Web Services (AWS) — secure server and database infrastructure (EC2, RDS)
Cloudflare, Inc. — DNS management, SSL encryption, DDoS protection, and CDN delivery
Resend — transactional email delivery
Google LLC — analytics (Google Analytics 4) and advertising (Google AdSense, shown to free-tier users only)
Vercel, Inc. — website hosting and deployment

3.2 Legal Requirements

We may disclose your information if required to do so by law, court order, or government authority, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

3.3 Business Transfers

If FileConvurt is acquired, merged, or its assets are transferred to another company, your information may be transferred as part of that transaction. We will notify you via email before your information becomes subject to a different privacy policy.

3.4 User-Selected Integrations

If FileConvurt later offers a Google Drive, Dropbox, OneDrive, or similar integration and you choose to use it, information will be exchanged with that provider at your direction. No such file-storage integration is currently available. The third party's own privacy policy and terms would govern its independent handling of your information.

3.5 Sale or Sharing of Personal Information

FileConvurt does not sell personal information for monetary payment and does not sell or share uploaded file contents.

However, personalised advertising technologies used for Free-tier users may constitute a "sale" or "sharing" of personal information under certain US state privacy laws, even where no monetary payment is exchanged.

Where applicable, you may opt out through:

the "Do Not Sell or Share My Personal Information" link in the website footer;
the Cookie Settings link in the website footer;
a qualifying Global Privacy Control browser signal; or
a request sent to hello@fileconvurt.com.

FileConvurt does not knowingly sell or share personal information belonging to individuals under 16 years of age.

4. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including security, fraud prevention, legal compliance, accounting, and dispute resolution. Our general retention periods are:

Uploaded and converted files: currently scheduled for deletion within 1 hour, subject to limited legal, security, and abuse-prevention exceptions;
Account information: retained while the account remains active and ordinarily deleted or anonymised within 30 days after account closure, except where longer retention is legally required;
Payment, billing, and transaction records: retained for up to seven years or for another period required by applicable tax, accounting, anti-fraud, or financial-record laws;
Conversion metadata: ordinarily retained for up to 12 months where needed to provide account history, enforce usage limits, investigate errors, prevent abuse, or secure the Service;
Security, fraud, and access logs: ordinarily retained for up to 12 months unless longer retention is reasonably necessary to investigate an incident or legal claim;
Support communications: ordinarily retained for up to three years after the matter is resolved;
Email marketing records: retained until you unsubscribe or withdraw consent, after which limited suppression information may be retained to honour your opt-out; and
Optional analytics and funnel information: ordinarily retained for up to 14 months or for the shorter period configured within the relevant analytics provider.

When information is no longer required, we delete, anonymise, or securely isolate it unless continued retention is legally permitted or required.

5. Cookies and Tracking Technologies

FileConvurt uses cookies and similar technologies to operate and secure the Service, remember preferences, understand usage, and support advertising. Where legally required, non-essential cookies and tracking technologies are disabled until you provide consent. You may accept or reject non-essential cookie categories separately.

5.1 Essential Cookies

Essential cookies are necessary to maintain login sessions, secure user accounts, remember subscription status, prevent fraud, process payments, and retain privacy and cookie preferences. These cookies are necessary to provide the Service and generally do not require consent.

5.2 Analytics Cookies

With your consent where required, we use Google Analytics 4 or similar technologies to understand how users interact with the Service and to improve performance and functionality. This may include pseudonymous identifiers, device information, approximate location, pages viewed, campaign or referring source, and the funnel events listed in Section 1.3. Analytics cookies and analytics event transmission are not activated before consent where prior consent is legally required.

5.3 Advertising Cookies

Free-tier users may be shown advertisements through Google AdSense or other advertising providers. Where required by law, advertising and personalisation technologies are activated only after consent. Advertising providers may collect identifiers, device information, approximate location, browsing activity, and advertisement interactions for measurement, fraud prevention, frequency control, and personalisation. Rejecting personalised advertising does not necessarily prevent the display of contextual or non-personalised advertisements.

5.4 Managing Cookies

You may accept or reject Analytics and Advertising separately and review or change your choices at any time through the "Cookie Settings" link in the website footer. You may also: manage cookies through your browser; use available advertising opt-out controls; enable a qualifying Global Privacy Control signal; or withdraw consent through FileConvurt's consent-management tool. Withdrawal does not affect processing that occurred lawfully before withdrawal. Disabling essential cookies may prevent parts of the Service from functioning properly.

6. Your Privacy Rights

6.1 Rights Available to Users

Subject to applicable exceptions, you may request:

access to personal information held about you;
correction of inaccurate or incomplete information;
deletion of personal information;
a portable copy of certain information;
withdrawal of consent;
cessation of marketing communications; and
information concerning how your information is used and disclosed.

6.2 EU, EEA, and UK Privacy Rights

Where the EU GDPR or UK GDPR applies, you may have the right to:

access your personal data;
correct inaccurate or incomplete personal data;
request deletion;
restrict processing;
receive eligible data in a structured, commonly used, machine-readable format;
object to processing based on legitimate interests;
object to direct marketing at any time;
withdraw consent at any time;
obtain information concerning international-transfer safeguards;
request human review of qualifying automated decisions; and
lodge a complaint with an applicable data-protection authority.

UK residents may complain to the UK Information Commissioner's Office. EU or EEA residents may complain to the supervisory authority in the country where they live, work, or believe a violation occurred.

6.3 California Privacy Rights

Where the California Consumer Privacy Act applies, California residents may have the right to:

know the categories and specific pieces of personal information collected;
know the sources, purposes, and recipients of personal information;
request deletion;
request correction;
obtain a portable copy of personal information;
opt out of the sale or sharing of personal information;
limit certain uses and disclosures of sensitive personal information; and
exercise privacy rights without unlawful discrimination.

The categories of personal information FileConvurt may collect in connection with the Service include: identifiers; billing and customer-record information; commercial and subscription information; internet or electronic-network activity; approximate geolocation information; professional or business information; account credentials; and user-provided file contents that may contain personal information. These categories may be disclosed to the service providers and recipients identified in Section 3.

FileConvurt uses sensitive personal information, such as account-login credentials, only as reasonably necessary to provide, administer, and secure the Service and does not use it to infer personal characteristics.

6.4 Other US State Privacy Rights

Residents of other US states may have additional rights to access, correct, delete, or obtain portable copies of personal information and to opt out of targeted advertising, sale, sharing, or certain profiling. Where applicable, you may appeal a denied request by replying to the decision or emailing hello@fileconvurt.com with the subject line "Privacy Request Appeal."

6.5 Exercising Your Rights

You may submit a privacy request through: applicable account or privacy controls; a privacy-request form made available on the website; or hello@fileconvurt.com. We may request information reasonably necessary to verify your identity and authority. An authorised agent may submit a request where permitted by law, subject to verification requirements. We will respond within the period required by applicable law. We may restrict or deny a request where a legal exception applies, including where retention is necessary for security, fraud prevention, payment administration, legal compliance, or legal claims.

7. Data Security

FileConvurt uses reasonable administrative, technical, and organisational safeguards designed to protect personal information and uploaded files. These safeguards include, where applicable:

encryption of data transmitted between users and FileConvurt through SSL/TLS;
restricted access to production systems and databases;
multi-factor authentication for authorised production access;
secure cloud infrastructure and access controls;
randomly generated or difficult-to-guess file identifiers;
logical separation of user files;
firewalls, traffic filtering, and distributed denial-of-service protection;
security logging, monitoring, and incident-response procedures; and
secure file-deletion processes.

No method of transmission, storage, or security is completely secure. Although we use safeguards designed to protect personal information, FileConvurt cannot guarantee absolute security. If a personal-data breach occurs, FileConvurt will investigate the incident and notify affected individuals, regulators, or other parties where required by applicable law.

8. Children's Privacy

FileConvurt is a general-audience service and is not directed to children under 13 years of age. We do not knowingly collect personal information from children under 13. If we learn that personal information has been collected from a child under 13 without legally valid parental authorisation, we will take reasonable steps to delete it.

Where consent is relied upon to process information relating to a minor in the EU, EEA, or UK, parental or guardian authorisation may be required depending on the individual's age and applicable national law.

FileConvurt does not knowingly use children's personal information for personalised advertising or knowingly sell or share it. A parent or guardian who believes that a child has provided personal information may contact hello@fileconvurt.com.

9. International Data Transfers

FileConvurt is established in the United States. Personal information may therefore be transferred to, stored in, or accessed from the United States and other countries where FileConvurt or its service providers operate. Those countries may have privacy laws that differ from those in your country.

Where the EU GDPR or UK GDPR applies, FileConvurt uses legally recognised transfer safeguards where required, which may include: an applicable adequacy decision; the European Commission's Standard Contractual Clauses; the UK International Data Transfer Agreement; the UK Addendum to the European Commission's Standard Contractual Clauses; or another legally recognised transfer mechanism. You may request additional information concerning applicable transfer safeguards by contacting hello@fileconvurt.com. Where legally required, FileConvurt will appoint an EU representative and/or UK representative and publish the representative's details in Section 13.

Our website may contain links to third-party websites. We are not responsible for the privacy practices of those websites. We encourage you to read the privacy policy of any website you visit.

11. Google Analytics and Google AdSense

FileConvurt may use Google Analytics 4 to measure Service usage and the conversion-to-subscription funnel, and Google AdSense to display advertisements to Free-tier users. Depending on your location and privacy choices, Google may receive: IP address; device and browser information; cookie or advertising identifiers; approximate location; campaign or referring source; website and funnel interactions; and advertisement impressions and interactions.

Google Analytics and personalised-advertising technologies will be used only where permitted by applicable law and subject to required consent and opt-out controls. Pro subscribers are not ordinarily shown advertisements. You may manage advertising and analytics choices through FileConvurt's Cookie Settings tool and applicable Google advertising controls. Google may independently process certain information in accordance with its own privacy terms.

12. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes in the Service, our privacy practices, service providers, technology, legal requirements, or regulatory guidance. When we make material changes, we will update the "Last Updated" date and provide appropriate notice through email, account notification, or a prominent website notice. Where a change requires new consent, we will request that consent before beginning the relevant processing. The updated Privacy Policy will apply from its stated effective date. Continued use of the Service will not constitute consent to materially different processing where separate consent is legally required.
